Assistant, HR and payroll

CMI – Martti Ahtisaari Peace Foundation is an independent organization that works to prevent and resolve conflicts through dialogue and mediation. Founded in 2000 by Nobel Peace Laureate and former President of Finland Martti Ahtisaari, we have since grown to be a leader in the field of international peacemaking.

CMI is now seeking an Assistant, HR and payroll to join its Finance and Administration Team (F&A) in Helsinki, Finland. This role holds the responsibility for various HR-related administrative tasks and processes. Assistant, HR and payroll works closely with CMI’s HR managers and supports them in day-to-day work.

We are looking for a team member with experience in HR administrative roles, especially related to payroll, employment lifecycle management, HR systems and other HR administrative tasks. You enjoy working in a dynamic environment with diverse responsibilities. This role requires service-mindedness, strong organizational skills, as well as the ability to prioritize and manage tasks independently. Above all, we are seeking a solution-oriented and collaborative team player who is good with processes, numbers and details and who loves keeping things in order.

Your key responsibilities:

  • Administration and development of monthly HR processes, especially related to Helsinki and Brussels payroll (payroll data, time reporting, invoices, reporting, support to finance etc.)
  • Administration of life cycle management of employments and consultancies (contracts, onboarding, changes, exit)
  • Administration of HR data and HRIS solutions
  • Support to supervisors and teams in a wide range of HR administrative matters
  • Together with the rest of the team, develop the HR function including related practices, instructions and processes
  • Support to office management and any other F&A-related assistant tasks, special initiatives and development efforts

What we are looking for:

  • 1-3 years of prior work experience from working with HR administration (especially payroll and HRIS solutions)
  • Degree (or about to graduate) in a relevant field (e.g. HR, finance/business, administration)
  • Have good knowledge of HR administrative responsibilities with professional conduct and a can-do attitude
  • Strong IT skills and interest in HR systems as well as knowledge of office programs (MS Office such as Excel, PowerPoint, Word)
  • Excellent organisational and planning skills
  • Excellent teamworking skills
  • Excellent communication skills, with fluency in both oral and written Finnish and English
  • Be able to work in rapidly changing situations with competing priorities and deadlines
  • Service-mindedness, proactivity and accuracy, including ability to process sensitive and confidential information discreetly
  • Commitment to CMI values and principles

The Assistant, HR and payroll reports to the Head, Finance and Administration. This position is fixed term until 31 December 2027. The preferred starting date is in August 2026 and will be set upon agreement. This is a full-time position based in our Helsinki office. Please note that the role requires working from the office on weekly basis and includes some support to office administration duties. This position requires a valid right to work in Finland, that enables full‑time employment. CMI’s main working language is English. The salary of this position is based on the CMI salary scales.
