We are now looking for an
Executive Assistant
to join our leadership team
As an Executive Assistant, you will play a vital role in ensuring the smooth daily operations of the executive and operational management teams. You will work closely with and directly support the Deputy CEO, while also providing high-quality support to selected members of the management team. In this role, you will work closely with a Senior Executive Assistant, forming a collaborative partnership to ensure seamless support for the leadership team. In close collaboration with senior stakeholders, you act as a trusted coordinator who ensures seamless planning, communication, and execution of key activities.
Your main responsibilities include:
- Proactive calendar and schedule management for key stakeholders, including meeting planning and coordination
- Coordination of management meetings, workshops, and events — including preparation of agendas, presentations, and supporting materials
- Planning and organizing internal and external events and visitor programs, including logistics, arrangements, and hosting
- Support in organizing company-level activities and executive events
- Travel arrangements and related administration (bookings, expense claims, and coordination with service providers)
- Invoice processing and handling of routine administrative tasks
- Office administration and coordination of services and facilities (maintenance, cleaning, supplies etc.)
- Close collaboration with internal and external stakeholders

In this role, you are expected to take ownership of your responsibilities and continuously develop smoother ways of working. You build strong trust with the leaders you support and bring structure, reliability, and proactivity to everything you do. With a service-minded attitude and strong attention to detail, you help create a well-organized environment where leaders can focus on strategic priorities.
You are comfortable working independently, taking initiative, and making decisions within your area of responsibility. This role suits you well if you enjoy both high-level coordination and hands-on practical work in a dynamic, fast-paced environment.
You will succeed in this role if you bring:
- Solid experience in a similar role in an international, fast-paced environment (typically 5+ years)
- Relevant educational background (Bachelor’s or Master’s degree)
- Strong business understanding, analytical and problem-solving skills
- Excellent ability to manage multiple priorities, work under pressure, and meet deadlines
- Excellent communication and collaboration skills in both Finnish and English
- A structured, proactive, and independent way of working with a hands-on attitude
- Curiosity to learn, develop, and continuously improve ways of working
- Strong Microsoft 365 skills (especially Excel, PowerPoint, and Word)
- Flexibility and adaptability in a dynamic environment
- A pragmatic, service-oriented mindset and willingness to handle both complex executive matters and day-to-day practical tasks
