Executive Assistant

CMI – Martti Ahtisaari Peace Foundation is an independent organization that works to prevent and resolve conflicts through dialogue and mediation. Founded in 2000 by Nobel Peace Laureate and former President of Finland Martti Ahtisaari, we have since grown to be a leader in the field of international peacemaking.

CMI is now seeking an experienced Executive Assistant to our CEO

Executive Assistant works closely with CMI’s CEO and the Leadership Team, and assists them in various administrative tasks and responsibilities.

Your key responsibilities: 

  • Day to day routines
    • Calendar and meeting management
    • Leadership team meetings incl. agendas, meeting minutes and other preparative tasks
    • Travel coordination (bookings and agendas), travel claims, credit card reimbursements and purchase invoice issue checking
    • Keeping record of important issues and following up on the status
    • Internal liaison with CMI teams, and external stakeholder coordination and correspondence
  • CMI Board support
    • Board meeting coordination, incl. agendas, meeting minutes and other preparative tasks
    • Support to the Chair of the Board, incl. coordination of messages and requests
    • Other possible tasks, incl. communication and travel support
  • Other tasks
    • Support and preparation of presentations and other materials
    • Support and coordination of meetings and events (e.g. catering, meeting venue, logistics and practicalities)
    • Other possible tasks depending on applicant’s interests and skills (e.g. art coordination, CRM)

What we are looking for: 

  • A degree from a relevant field (e.g. BBA, Multilingual Management Assistant Program, Tradenomi HSO, etc.)
  • Several years of experience in assisting senior management in an international environment. More extensive experience is preferred, for example acting as executive assistant to leadership.
  • Service-minded attitude and good prioritization skills.
  • Ability to work in rapidly changing situations and under pressure.
  • Be solution oriented, proactive and well organized.
  • Excellent networking and teambuilding skills.
  • Fluency in Finnish and excellent oral and writing skills in English, other language skills are an asset.
  • Strong analytical and writing skills (both editing and production of written materials).
  • Strong IT skills and knowledge of office programs (such as MS Office, M2 and Netvisor)

The Executive Assistant reports to the CEO. This position is permanent, the starting date is as soon as possible and will be set upon agreement. This is a full-time position based in our Helsinki office. This position requires a valid right to work in Finland, that enables full‑time employment. CMI’s main working language is English. The salary of this position is based on the CMI salary scales.
