We're looking for a warm, organised, and proactive Front-of-House Coordinator for our client to be the heartbeat of our office experience.
This is a vendor-contracted, full-time, fixed-term position running until approximately August 2027. The employment contract will be with Eilakaisla, with work carried out at our client's office in central Helsinki, excellent public transport connections included.
THE ROLE
As Front-of-House Coordinator, you are the first face people see and the reason the office runs smoothly every day. You own the hospitality experience and the operational heartbeat of the office — from welcoming guests to making sure the pantry is stocked and meeting rooms are ready.
You work closely with the Workplace Coordinator, who supports and guides you day-to-day. This is a hands-on, people-facing role. You thrive on routine done well, notice what needs fixing before anyone asks, and take genuine pride in the space and experience you help create.
YOUR RESPONSIBILITIES
HOSPITALITY & FRONT DESK
- Welcome all visitors, guests and candidates with warmth — you set the tone for the entire office experience
- Manage guest registration and visitor flow using our visitor management system
- Issue and track access keys and fobs; maintain accurate entry/exit logs
- Prepare candidate welcome packs and coordinate arrival experience with the recruitment team
OFFICE OPERATIONS
- Handle incoming and outgoing mail and deliveries
- Keep the office supply room, pantry and meeting rooms stocked and tidy — monitor levels, place orders and advise the janitor on replenishment
- Partner with our kitchen host to keep the food & beverage service running smoothly
- Conduct regular walkthroughs to check cleanliness, functionality and supplies in meeting rooms and toilet amenity areas; take action or log findings as needed
- Receive arriving office vendors (plant care, furniture maintenance, building maintenance, etc.) — greet, guide and confirm completed work
- Create and log maintenance tickets for operational issues; escalate anything beyond routine maintenance to the Workplace Coordinator
INTERNAL COMMUNICATIONS
- Own front-desk-level internal comms: notify employees of relevant day-to-day updates such as visitor arrivals, supply disruptions, maintenance windows, room availability changes or pantry restocks
- Draft and send timely, clear messages via Slack or email for matters within your remit — always aligned with the Workplace Coordinator on tone and scope
TEAM SUPPORT
- Respond to employee day-to-day requests via Slack, helpdesk and walk-ups
- Support the Workplace Coordinator and Workplace Manager with office-related tasks and initiatives as needed
WHAT YOU BRING
- 2+ years of experience in reception, office coordination, hospitality or a similar role
- Fluent in both Finnish and English (English is our working language)
- A genuinely service-minded attitude — you enjoy helping people and take initiative without being asked
- Strong organisational skills and attention to detail; you notice what others miss
- Comfortable multitasking in a busy, international environment
- Experience with Google Workspace tools is a plus
- Positive, reliable, and a real team player

Additional information
- Salary: €2400-2800/month
- Start date: August 2026
- Contract duration: Fixed-term until approximately August 2027
