As part of our Digital Transformation Office (DTO), you will support a global team driving high‑visibility initiatives across brands, functions, and regions. In this role, you will play a key part in enabling the Engagement Management team to operate effectively — ensuring that planning, communication, and operational routines run seamlessly. What you will be doing:

Engagement Management (EM) Team Coordination & Support

• Lead scheduling, coordination, and logistics for the EM team across brands, functions, and regions
• Manage recurring team routines (weekly syncs, monthly reviews, quarterly planning, etc.)
• Coordinate cross‑time‑zone meetings, workshops, and key transformation touchpoints
• Track attendance, follow‑ups, and action items to ensure smooth execution

DTO Operating Rhythm & Planning Support

• Support the setup and maintenance of DTO operating models and governance rhythms
• Help structure agendas, materials, and logistics for key meetings and workshops
• Maintain visibility on DTO activities, milestones, dependencies, and planning cycles

Stakeholder & Communication Management

• Act as a coordination point between EM team members, DTO leadership, Group IT, and business stakeholders
• Support preparation, consolidation, and distribution of materials (agendas, presentations, summaries)
• Ensure timely communication and follow‑through on agreed actions

Team Enablement & Process Improvement

• Identify recurring coordination challenges and suggest process improvements
• Support onboarding of new EM team members (tools, logistics, processes)
• Help standardize templates, calendars, and coordination practices across DTO

Collaboration with Executive Assistant to CDIO

• Work in close collaboration with, and in support of, the Executive Assistant to the Group CDIO to ensure alignment with CDIO communication, leadership engagement, and Group IT priorities
• Execute day-to-day coordination and operational activities in support of DTO and EM teams, with priorities, sequencing, and quality standards aligned with guidance from the Executive Assistant to the CDIO
• Support the preparation and execution of key IT forums, leadership meetings, and transformation-related engagements, ensuring consistent operating rhythm, clear communication, and high-quality delivery across Group IT

What you need to succeed:

• 3+ years of experience in team coordination, project support, PMO, or executive/team management roles
• Strong organizational and coordination skills, with the ability to manage multiple stakeholders and priorities
• Proactive, structured, and service‑oriented working style with strong attention to detail
• Clear and professional communication skills (written and verbal), with fluent English 
• High proficiency with Microsoft Outlook, PowerPoint, Excel, and collaboration platforms like Teams and SharePoint
• Experience supporting cross‑functional or transformation teams is a strong advantage
• Prior exposure to IT, digital, or transformation environments is helpful (not required)
• Bachelor’s degree or equivalent practical experience
• Ability to work effectively in a multicultural environment, showing respect and understanding of different cultural perspectives.
